Calling 101

As a user with an assigned Sales Hub paid seat, you can make calls directly to your contacts from the contact record using your phone number as the outbound number. Not only will this log the call for you automatically, but you can also take notes, log the outcome of the call - from either your phone or even web browser. This is a great way to optimize your day-to-day activity, especially if you have a lot of calls to make. To get started, please follow this quick guide below.

FROM LEGAL: Call recording is illegal without consent in most areas of the World. Before you hit to record a call, first obtain consent from the recipient - no exceptions! 

Getting Started

Follow the steps below to setup your phone number as an outbound line:

  • Go to your settings (gear icon in the main navigation)
  • In the left sidebar, navigate to General
  • Click on the Calling tab
  • Select Add Phone Number
  • In the dialog box, enter your phone number - and extension if applicable
    • There is a possibility to add a HubSpot number for outbound/inbound calls, but we need to evaluate this process as we currently have a limit of 5 numbers in our account, and it would add cost if we needed more. Please be patient while we determine if this is needed, along with the process. 
  • Follow the prompts to verify your number; once completed you're all set!

Each month, our account is given 12,000 minutes to make calls out of HubSpot. To date, we have not even come close to half of this threshold, but if we do in the future, we can add more minutes to our account. If we reach our limit while you're on a call you will be able to complete the call, but not be able to make additional calls until the minutes reset the first day of the next month.

Making a Call

With your number added to HubSpot as an outbound caller, it's time to make your first call. 

  • Open a contact record
  • Click the phone icon in the left sidebar
  • Select the phone number you wish to call, along with your preference of calling automatically from your phone or via browser

Prefer to always call from browser? Click Open call options to select your preference, but remember - by default HubSpot stores your last used settings for the next call. 

Tips & Tricks

As with everything in HubSpot, here are some additional tips to help support you as you make calls from HubSpot:

  • If using Tasks, any marked as Call will automatically pop-up the calling feature when you start your task queue
  • During the call you can drag and drop the call window to a different location on your screen, or minimize the window so you can still view your data in HubSpot.
  • If provided consent to record the call, you just need to click Record in the top right corner.
  • To mute yourself during a call, click the Mute button.
  • To enter an extension or access the dialer, click the Keypad button.
  • To change the microphone or speaker device you're using, click the Audio dropdown menu.
  • When the call is complete, click end call.
    • Make sure to add in the Call outcome, notes, and any additional follow-up tasks
