A power dialer is an automated outbound calling tool that dials phone numbers from a list one after another, without requiring a manual look up to dial each number.
In HubSpot's Sales Power Dialer, calls are placed sequentially from your call queue. After each call, log notes, update call outcomes, and complete any follow-up actions during the wrap-up period before the next call is dialed automatically.
This streamlines the calling process and allows more time engaging with contacts instead of performing repetitive manual tasks.
Benefits of Using a Power Dialer
- Saves time — Eliminates manual dialing, redialing, and looking up numbers between calls
- More talk time — Reps spend more time on live conversations instead of dialing and waiting
- Consistent follow-up — Every contact on a list gets called, so no lead falls through the cracks
- Better reporting — Call outcomes, notes, and activities are automatically logged
- Less agent fatigue — Removes the repetitive, manual work of dialing one number at a time
- Faster outreach at scale — Larger contact lists get worked through in a fraction of the time
How It Works
- In HubSpot, navigate to CRM > Contacts
- On the right side click Advanced filters and add in any desired filters to narrow down the contacts you wish to call
- Select the checkboxes on the left-hand side before the contacts that you wanted to add to your calling queue. You can select individual contacts, all on page, or all contacts in the filter
- Click the More dropdown menu in the right-hand side, and select Add to Power Dialer
- The sales power dialer panel will appear. To view the contacts in your queue you added, click View Call List
- Select the phone number to call from using the phone number dropdown menu
- Customize the time between calls using the Set up wrap time dropdown menu to allow time to complete appropriate tasks before the next call is dialed
- Set your Set voicemail preference dropdown menu
Please note: Voicemail drops must be pre-recorded first — you record them in Settings > General > Calling tab > Edit audio messages, uploading an .mp3 or .wav file under 5MB or using Text-to-Speech you can add voicemails.
- Click Start Session when ready to start
- During each call, complete the available call actions (notes, call outcomes, etc.)
- Once the call ends, complete the call log
- A wrap-up screen appears with a countdown timer (based on your chosen wrap-up time) before the next call begins automatically
Importing Call Tasks into the Power Dialer
Another way to queue contacts: Existing tasks can also be imported directly into the power dialer. Call tasks that are already assigned (e.g., follow-up call tasks) can be pulled straight into the dialer queue.
- Click on the phone icon in the top-right utility bar in HubSpot's navigation an select Power Dialer
- Click the Import task view button
- Select the saved task view from where you want to pull contacts
Please note: A saved task view is a filtered list of tasks you've set up once and saved for reuse — for example, filtering by task type = Call, due date = Today, and assigned to = Me once your filters are applied, click Save view (or Save as new view) to name and store that filtered list,— so you can pull up that same filtered list anytime instead of rebuilding it from scratch.
- The contacts / tasks in the filtered view will load into your calling queue — no manual selection needed
- From here, follow the same process as above: view your call queue/list, select the number to call from, set your wrap-up time and voicemail preference, then click Start Session
